As a volunteer sports organization, Calgary Saracens RFC strives to provide the best possible programs at the lowest feasible cost. We understand that occasionally a participant may be required to withdraw from a program. When this happens, players and/or parents may seek partial refund depending how much of the program remains. Calgary Saracens RFC strives to meet expectations within the limitations imposed on the club, while being able to plan financially and provide rugby to players for years to come.
Breakdown of Dues: When registering to Calgary Saracens RFC, the fees a player pays are broken down into five (5) categories:
- Rugby Canada Dues
- Rugby Alberta Dues (for Men & Women) or Alberta Junior Rugby Association Dues (for Juniors and Minis)
- Calgary Rugby Union Dues
- Calgary Saracens RFC Dues
- Calgary Saracens RFC Fundraising Deposit

Refund of Rugby Canada & Rugby Alberta Policy: Rugby Canada’s policy for refund of national and provincial fees as of June 1, 2016, is that:
- No refund shall be granted after a participant has partaken in 2 (two) practices (at any level of competition).
- No refund shall be granted after a participant has partaken in 1 (one) game (at any level of competition).
- Rugby Canada will retain 10% of the National Dues as a refund processing fee.
- Provincial Unions and Clubs have the right to retain a 10% refund processing fee of Provincial Union and Club Dues.
Refunds of Calgary Saracens RFC Dues:
- Based on season-ending injuries:
- In accordance with Rugby Canada policy, if a player is forced to withdraw from the season due to a season-ending injury prior to participating in their first game, Calgary Saracens RFC will issue a full refund on Calgary Saracens RFC dues.
- If a player is forced to withdraw from the season due to a season-ending injury after they have participated in any game, but has participated in less than three (3) games, Calgary Saracens RFC will issue a 50% refund on Calgary Saracens RFC dues.
- If a player is forced to withdraw from the season due to a season-ending injury after they have participated in three (3) or more games, no refund of Calgary Saracens RFC dues will be issued.
- For any refund based on a season-ending injury, a doctor’s note outlining the extent of the injury and the estimated timeline for recovery must be provided prior to Calgary Saracens RFC approving any refund.
- For other reasons:
- If a player chooses to withdraw from the season prior to participating in their first game, Calgary Saracens RFC will issue a full refund on Calgary Saracens RFC dues, less a $50 administrative charge.
- If a player chooses to withdraw from the season after they have participated in any game, no refund of Calgary Saracens RFC dues will be issued.
Refunds of Calgary Saracens RFC Fundraising Deposit:
- Please refer to the Calgary Saracens RFC Fundraising Policy for more details about the Fundraising Deposit.
- Individuals pay a $100 fundraising deposit when registering (except U18 players who pay $50 due to their shortened season). Families with two (2) or more members registered in with Calgary Saracens RFC pay $150.
- The Calgary Saracens RFC Fundraising Deposit will only be refunded for a season-ending injury prior to the first game of the season, where the request for refund is accompanied by a doctor’s note.
Process for Requesting and Receiving Refunds:
- If you need to withdraw from the season, please contact your Program Director at the information below with as much information as possible about your registration and the circumstances around your refund request:
- Men: vpmen.saracens@gmail.com
- Women: vpwomen.saracens@gmail.com
- Juniors: vpjuniors.saracens@gmail.com
- The Program Director will forward your request to the VP of Administration for processing.
- Full refunds will be processed through SportNgin, with approval from Rugby Canada and the provincial union.
- Partial refunds will be issued by cheque within thirty (30) days of the request being received.
Notes:
- Social memberships are not eligible for refunds.
- Players not in good standing with Calgary Saracens RFC or any of our governing bodies are not eligible for refund.
- We encourage you to buy a social membership should you withdraw your playing membership for the season, so that you remain eligible to vote at the AGM, serve on the Board, etc.
- Should you wish to request an exception to the above policy, please submit a written request for review to the club (president.saracens@gmail.com) outlining your case. The Board as whole will review and notify you of a decision within sixty (60) days of the request.
- If a partial refund is approved, please allow fifteen (15) days for processing.
